GENERAL DESCRIPTION OR PURPOSE OF JOB:

Provides comprehensive administrative and operational support to multiple departments, ensuring efficient day-to-day operations. This role requires strong organizational skills, attention to detail, and the ability to manage multiple priorities while supporting various stakeholders across the organizational, utilizing the support of the team to ensure the day to day and future operations of these positions are on task according to company policies and management direction. Provides help and assist in all the activities related to the different departments.

RESPONSIBILITIES / ESSENTIAL FUNCTIONS:

Provide administrative support to multiple teams, including scheduling meetings, processing managers' or employees' requests related to onsite support and coordinating logistics.

Collaborate with HR to ensure all company policies and processes, both from corporate and specific to local laws are in compliance by managers and employees and fully implemented for all groups

Assist with onboarding and offboarding logistics, including access, equipment, credentials, and workspace readiness as needed

Serve as a point of contact for internal and external communications related to supported teams.

Ensure employees’ requests are managed properly and follow up on the department’s procedures

Support workforce planning by tracking headcount, availability, and capacity.

Manage reports and metrics as applicable

Support special assignments and coordination on projects for the customer services and shared services departments

SUPERVISORY RESPONSIBILITIES – In any job with supervisory responsibilities, the following are an explicit part of the incumbent’s responsibilities and essential functions:

Participate in decisions related to the selection, promotion, transfer, pay, and discipline of assigned personnel, when requested

Administer Company policies about discipline, absenteeism, etc., fairly and equitably, and fully document all incidents and actions taken.

Involve the assigned HR Generalist on compliance issues such as pay equity, equal opportunity in hiring and promotions, and proper procedures for hiring, terminations, lay-offs, etc.
